Information for staff

Members of General Assembly are welcome to attend graduation ceremonies and form part of the academic procession. Invitations to the ceremonies are sent out in advance of the ceremonies.

Guidance on Academic Dress

All staff intending to join the academic procession must wear the correct academic dress. Staff should wear the gown and hood which represents the institution from which they graduated and the qualification obtained.

Staff who own Academic Dress

  • If you own your academic dress, you should wear this for the ceremony.
  • Staff who wish to purchase new robes should write to Ede and Ravenscroft, Unit A, Denny Industrial Centre, Waterbeach, Cambridge, CB5 9QD - Telephone +44 (0)1223 861854.

Hiring Academic Dress

  • Ede and Ravenscroft are the official robemakers for the University and will supply a wide range of academic dress to Loughborough University staff
  • The Graduation Office will order the gowns for you from Ede and Ravenscroft directly. All you need to do is complete the relevant parts of the Attendance Form to enable us to order the correct robes

Collecting your gown

  • Gowns can be collected on the morning of the ceremony from LDN1.02 from 8.30am. All you need to do is give your name to the staff on duty and your gown will be given to you
  • Inside your robe will be a ticket with a name and reference number on it. THIS TICKET MUST NOT BE REMOVED UNDER ANY CIRCUMSTANCES as it will be needed to register the return of the robe after the ceremony. Please inform a member of Ede and Ravenscroft staff if the ticket becomes detached
  • Gowns should be returned to Ede and Ravenscroft after the ceremony, and no later than 4.30pm
  • Staff who are attending more than one ceremony should not return the gowns between ceremonies. Please keep hold of your gowns until the last ceremony has ended

Note for Graduates of Non-UK/Irish Institutions

Ede and Ravenscroft are unable to provide robes for Institutions outside of the UK & Ireland. As an alternative they hold a small stock of miscellaneous un-adopted designs, or if you give a full description of your desired dress they will endeavour to supply a close match.

Note regarding University of London

Please state if you are a member of Convocation (this applies to all degrees other than PhD and Higher Doctorates). If no indication is given non-Convocation robes will be supplied.

Procedure on the day

Members of the General Assembly and Senate Processions

Members of staff who are joining the General Assembly or Council/Senate Procession should collect their robes from LDN1.02 by the time indicated in the table below. Please note that ALL MEMBERS of the Academic Procession will congregate and process from outside LDN1.02 to the Here East Theatre, where the ceremony will be held.

The Procession will form outside LDN1.02 at the times indicated in the table below. The Procession, led by the Marshals, will begin on a signal from a member of the Graduation Team after the Dean's List has been finalised. The Procession will then make their way into the Here East Theatre and onto the stage before sitting in a designated seat. Your name will be on the relevant seat on the stage.

Procession lists and seating plans will be available in the Robing Room (LDN1.02). These documents will indicate your place in the procession and also where you will be seated on the stage.

Please note: academic staff members from a specific institute may not be required to attend both Processions. Please consult with the Graduation Team if you are unsure which Procession you will be attending.

Chancellor's Platform Party, Council Procession, Heads of Departments and Public Orators

Chancellor's Platform Party, Council Procession, Heads of Departments and Public Orators should collect their robes from LDN1.02 by the time stated in the table below.

The Procession will form outside LDN.1.02 at approximately the time indicated in the table below. The Procession, led by the Marshals, will begin on a signal from a member of the Graduation Team after the Dean's List has been finalised and make their way to the Here East building. The Marshals will lead the procession into the Hall and onto the stage where you should sit in your designated seat. Your name will be on the relevant seat on the stage.

After the ceremonies

All staff

When the ceremony finishes, the Marshals will lead the processions out of the hall. If you have borrowed a gown from Ede and Ravenscroft, this must be returned to them by 4.30pm. All students, staff and guests are invited to attend a Graduate Reception which will take place on the ground floor of the campus from 12pm until 1.30pm. Complimentary lunch and refreshments will be provided. If you have a special dietary requirement, please contact London@lboro.ac.uk with full details before Friday 7 December.
